Client challenge

The state labor agency is structured into eight key divisions, each comprising several independent departments. Over time, each department developed its own systems and adopted different technologies, leading to inconsistent tools and data across the agency. For example, the labor division relied on outdated software, the legal division had no software system, and the state occupational safety and health division used only the federal OSHA system. Each system had limited reporting capabilities and separate document management tools without document assembly features. These inefficiencies often caused a significant backlog of work.

Our solution

Since each department within the agency had distinct process needs and software requirements, Valtree Corporation recommended and implemented AdvoLogix through a four-year, multi-phase approach across the 120-user organization. Although the client is not a law firm, Valtree’s discovery and strategic analysis found that AdvoLogix, a legal enterprise management system, was the optimal solution for this government agency.

 

The application was implemented in phases, starting with the legal division, followed by the labor division, and then three distinct departments within the occupational health and safety division. This new system centralized document storage, process management, and data reporting. For the first time in the agency’s history, users across different divisions had access to the same system and could share processes, data, and results across the entire organization.

Results

Throughout the organization, leaders observed two key outcomes almost immediately: enhanced process efficiency and improved data quality. The implementation of AdvoLogix streamlined and automated previously time-consuming manual processes. The software also consolidates and reports data across various divisions, including critical workplace data that the agency must report to the federal government. Case sharing between divisions, when needed, is now fully automated within a single system. As a result of increased productivity and automation, work backlogs have been significantly reduced or eliminated, and the time taken to close cases has been substantially shortened.
