This insurance defense law firm, with over 1,000 employees, operated across 44 locations without a unified matter or document management system. Attorneys and staff lacked a centralized platform to intake new cases, manage tasks, track deadlines, update documents, and analyze data. While new cases were logged in the firm’s billing system, the rest of the tracking was done manually. Each team recorded data in spreadsheets, emailed other departments or offices to request reports, and stored files independently. Collaboration between locations was limited due to the difficulty of sharing data. As a result, staff spent significant time searching for information, recreating documents, and following up on tasks and deadlines.

Our solution

This client collaborated with Valtree Corporation to implement their first matter and document management software: Litify. Litify is an application built on the Salesforce platform that enables law firms and legal teams to manage case intake, time and task tracking, file storage, and detailed reporting from a centralized system.

Valtree Corporation developed the strategy for, managed the implementation of, and provided organizational change management expertise to assist the hundreds of users transitioning from manual tracking methods to a unified case management system.

As a result of this successful software rollout, training, and change management efforts, attorneys now have instant access to all necessary data. Managing partners across all 44 offices can track new cases, closed cases, attorney case assignments, and task statuses (in progress or overdue). The client simply logs into Litify to view a comprehensive dashboard of key data.

Moreover, Valtree Solutions’ Litify implementation has delivered a powerful, centralized document management system. Firm staff can now access existing motions and documents across all offices, fostering collaboration and knowledge sharing. The firm has also introduced time tracking, automation, and billing rules to optimize processes and enhance revenue realization.

This program revolutionized the business.
